A trader in Casablanca once told me about a container of what was sold to him as a premium reactive dye. The paperwork looked fine at a glance — a CoA, an MSDS, even a TDS with numbers on it. Except the CoA had no batch number tying it to the actual lot, the MSDS was a generic template lifted from a competitor's website, and the shade came out nearly a full point off on CMC ΔE once it hit a real dye bath. By the time he figured it out, the shipment was already at his customer's mill.
A trader in Ho Chi Minh City ran into a quieter version of the same problem: a TDS with no fixation data at all, just a shade card and a price. He assumed a missing parameter meant "standard," dyed to spec anyway, and lost two days of production re-dyeing a lot that shouldn't have shipped in the first place.
Neither story is rare. It's close to routine in this industry, and it's exactly why documentation vetting deserves as much attention as price negotiation — maybe more.

Why Vetting Matters More Than Price
Price is the easiest number to compare and the easiest number to be fooled by. A supplier quoting 8% below market on a Reactive Red isn't necessarily cutting margin — sometimes they're cutting on quality control, and sometimes they're not manufacturing anything at all. A genuine dyestuff manufacturer verification process protects you from the three costs that never show up on the invoice: rejected shipments at customs, shade complaints from your own buyer, and the reputational damage of being the trader who supplied a bad lot.
Traders and agents sit in a uniquely exposed position. You're the name your buyer holds accountable, even when the fault sits three tiers upstream at the factory. That's the real argument for treating documentation review as a filter you apply before the relationship starts, not paperwork you collect after the container ships.
First, Don't Confuse CoA with Certificate of Origin
This trips up more first-time importers than anything else in this checklist, so it's worth being direct about it upfront.
Certificate of Analysis (CoA) — issued by the manufacturer's lab, confirms that a specific batch actually meets its tested spec (strength, purity, moisture content, and so on).
Certificate of Origin (COO) — issued by a chamber of commerce or trade body, confirms the country where the goods were manufactured, and often determines whether your shipment qualifies for preferential tariffs under a trade agreement.
Both matter, but they solve completely different problems. A supplier can hand you a flawless COO for customs purposes and still send you a batch with no real CoA behind it. Ask for both, separately, and don't let one substitute for the other.
The CoA Checklist: What a Real Certificate of Analysis Looks Like
A Certificate of Analysis exists to prove that a specific batch meets a specific spec — not a general spec for "this product," but the actual lot in your container.
A legitimate CoA should include:
A batch/lot number that matches the physical drum or bag labels — not a generic product code
Actual tested values, not just target ranges (strength %, moisture content, pH, particle size where relevant)
Date of manufacture and date of testing
The testing method or standard referenced (internal QC method or a recognized standard)
An authorized signatory name and, ideally, a lab stamp
Red flags: a CoA that reads identically across multiple shipments over many months, suspiciously round numbers across every parameter, or a CoA issued by a trading company rather than the factory that actually produced the dye.

For first-time transactions, don't stop at the manufacturer's own CoA. It's standard international practice to request an independent verification through a third-party inspection agency — SGS, Intertek, or Bureau Veritas all offer pre-shipment testing and lot sampling in India. It costs a modest inspection fee, but for a new supplier relationship or a large first order, it's cheap insurance against exactly the scenario in the Casablanca story above. A manufacturer confident in their own numbers will not object to this.
The MSDS/SDS Checklist: The Document Most Often Faked or Copied
A Material Safety Data Sheet tells you how a product is classified, how it should be handled, and what regulatory declarations apply to it. It's also the document most commonly copy-pasted from somewhere else, because buyers rarely check it line by line until something goes wrong.
What a proper MSDS/SDS should cover:
GHS classification and hazard statements specific to the actual product, not a boilerplate dye-family template
An azo-free declaration, where applicable, that's product-specific rather than a blanket company statement
REACH compliance status if the shipment is headed to the EU or a REACH-aligned market
Handling, storage, and first-aid information consistent with the actual chemical family
Revision date — an MSDS that hasn't been updated in years for a product still being sold is a sign nobody's actively maintaining it
One thing buyers often overlook: transport classification. If your dye powder falls under a hazard class for sea freight, the MSDS data should line up with what's declared on the IMDG (International Maritime Dangerous Goods) documentation and the shipping line's dangerous goods form. A mismatch here is what causes containers to sit at port while customs sorts out a discrepancy — a cost that lands entirely on you, not the supplier. Ask your supplier directly whether the product requires DG (dangerous goods) shipping documentation, and confirm the MSDS and the shipping declaration actually agree.
The TDS Checklist: The Document That Should Actually Help You Dye
A Technical Data Sheet is the one document that should make your life easier on the shop floor, not just satisfy a compliance file. A real TDS specifies:
Solubility parameters and recommended dissolving temperature
Fixation rate / fixation percentage under standard conditions
Recommended dyeing method (exhaust, continuous, cold pad-batch — whichever applies)
Shade range and light/wet fastness ratings
Recommended dosage range for target depth of shade
Storage conditions and shelf life
If a TDS is missing fixation data or dosage guidance entirely, or reads more like a marketing sheet than a technical one, ask for the underlying lab data. A manufacturer who runs their own dye-house trials will have this readily available, because they need it internally before they ever sell a batch.

What dyeing method and fixation rate does your TDS assume, and can I get raw lab data behind those numbers?
Are you the manufacturer, or are you trading/repacking product from another factory?
Can I visit the factory, or can you share verifiable production photos/video of this specific process line?
What's your batch-to-batch shade variance tolerance, and how do you measure it (CMC ΔE or another method)?
Do you provide azo-free and REACH declarations as standard, or only on request?
Would you be open to an independent SGS/Intertek inspection on a first order?
A manufacturer with nothing to hide answers all eight without hesitation. A trader posing as one will often deflect at least two or three — question 8 tends to be the most revealing.

CoA and MSDS issued under a different company name than the one you're contracting with
Inability to explain batch-to-batch consistency in any technical terms
